Space Only Stands

Introduction

This section of the manual is designed to assist exhibitors who have commissioned bespoke builds at MACH. Usually this applies to those who have booked space only but shell scheme stands who are building substantial elements within their shell scheme may also need to refer to this information.

Space only exhibitors have booked only the raw floor space at the exhibition and therefore are responsible for arranging all the build requirements, such as carpet, construction, electrics, etc.

If you are not sure what type of stand you have booked then your contract for space will tell you what has been booked and the MACH floorplans of the website are colour coded – blue for space and orange for shell. If you are unsure or wish to change to another scheme please emailĀ mach@mta.org.ukĀ and we will be happy to help.

In order to be granted a ‘Permission to Build’ certificate for the show you will need to submit a number of compulsory forms and have your stand plans signed off by the MACH Team.

You will need to submit the following forms:

  • Contractor Contact Infomation
  • Stand Declarations Form
  • Construction Summary & Plan Submission

It is the exhibitors responsibility to ensure that these forms are completed fully and accurately.

 

In order to build a stand at MACH you must obtain a ‘Permission to Build’ certificate from the Organisers – this is an acknowledgement that you have submitted the compulsory forms and your plans have been approved as compliant with stand build regulations.

We recommend sending the MACH Stand Build Regulations to your stand contractor along with your brief to help make sure anything designed is in keeping with the rules.

It is essential that all space-only exhibitors ensure that their stand plans are submitted by the deadline stated on the order form.

Each design must:

  • Be to a recognisable scale (i.e. 1:25/33.3 or 1:50)
  • Include a plan view showing all construction and the approximate location of the principal exhibits.
  • Provide elevations of each open side showing the main detail of the stand and clearly showing that all stand fitting is below 4m in height.

The plans must be submitted either by the exhibitor or the stand contractor using the online form.

No contractor or exhibitor will be permitted to start construction or unloading of vehicles on site without having received a permission to build certificate.

If changes need to be made to a design after permission to build is applied for or granted then exhibitors need to notify the Operations Team in writing and submit new plans incorporating the changes.

If you make alterations to your design which later prove to be non-compliant with the stand build regulations or lead to H&S issues, the exhibitor will be required to build to the approved design instead or to bear the cost of any remedial actions required by the Organiser.

As exhibitions and events are deemed as hazardous environments, it is a requirement that every Exhibitor carry out a Risk Assessment and Fire Risk Assessment for their involvement in the exhibition. Exhibitors are required to assess the risks to workers and others, who may be affected by their work business. This will enable them to identify the measures they need to take to comply with health and safety law.

Space scheme exhibitors need to submit a comprehensive risk assessment covering the build, break down and operational/open period.

You should also consider the following when carrying out your Risk Assessment:

  • Slipping/tripping hazards (e.g. poorly maintained carpets, edges of platform floors or stairs, cables)
  • Fire
  • Long working hours
  • Working at height (when dressing the stand or during the open period)
  • Electricity (e.g. poor wiring)
  • Manual handling
  • Noise
  • Poor lighting
  • High or low temperature

Space-only exhibitors will NOT be provided with name boards, you must ensure that your stand number is prominently displayed on your stand to a minimum size of 200mm wide by 150mm high.

The organisers of MACH recommend that you use an ESSA member for the construction and build of your stand.
