It is important to order your electrical connections as soon as possible as surcharges will be applied to orders received after the deadline dates below;
- Late orders – orders received after the deadline are subject to a +20% surcharge
To help you order your electrical requirements, the manual has been divided into the following sections:
- Shell scheme electrical package – detailing what you get and how to ensure it is located where you want it.
- General electrical ordering – how to order extra electrics and basic lighting for shell scheme and space-only exhibitors.
- Ordering mains and connections for exhibits and machinery from 16 Amp single phase and 16 Amp three phase upwards.
- Electrical safety guidelines for MACH exhibitors.
- Frequently-asked questions about electrics, general notes and electrical regulations of all types.
You can access the electrical order form via the Order Forms/Check List page.
Please note that under the MACH Health and Safety requirements, only the appointed contractor, GES, is permitted to carry out primary electrical connections at the exhibition.
Q Can I choose my electrical contractor?
A No; the MTA has appointed GES to provide all electrical services at MACH.
Q Do we need to turn off our stand electrics at the end of each day?
A Yes; stand electrics will be cut at the end of each day (unless the exhibitor has ordered a 24hr main) so as not to waste power and for obvious safety reasons. It is essential to turn off your own machinery at the end of each day to prevent damage when the power is cut to your stand. The MTA cannot be held responsible for any machinery or exhibits which are affected due to the power being turned off.
Q When will the electrics be turned off at the end of the show, prior to the beginning of break-down?
A The MTA has designated the first two hours (1600 till 1800) after the close of the last day of the show as decommissioning time to allow exhibitors to wind down their displays. All power will be cut as soon as is practicably possible after 1800 hours. For obvious safety reasons the vehicular access doors will remain closed until all power has been disconnected.
Q Will I have to have a mains box isolator switch on my stand?
A Yes; please indicate on the order form grid your preferred location.
Q Are we allowed to use internal combustion engine power generators on our stand?
A No; in the interests of safety, noise and fume control, internal combustion engines are prohibited at MACH.
Q Are Multiplugs and/or Extensions allowed to be used at MACH?
A Only one 4-way extension lead may be connected to each socket outlet, and the maximum length of lead permitted is 2 metres. Extension leads must not be plugged into other extension leads (commonly known as ‘daisy chaining’ or ‘piggy backing’) and you must not exceed the loading of the socket ordered.
Q What happens if our electrical requirements change after we have placed our order?
A Provided you have pre-ordered the bulk of your requirements in good time and notify the Electrical Contractor as soon as possible, they will do all that they can to assist you and avoid any surcharges. Please note if mains sizes need to be increased or new mains need to be added once the build–up has started, this will involve a considerable amount of extra work, potentially disturbing many exhibitors and their contractors. As such this must be avoided and any such late change will incur the full surcharge.
Q Can we order temporary electrics for the build-up and breakdown period to power our assembly tools?
A Yes, simply contact GES and they will assist you.
Whether you are a space-only exhibitor or want to order more electrics for your shell scheme, ordering standard electrical fittings could not be easier. Simply complete the electrics order form, indicate on the grid the approximate location required, and the electrics will be installed during the build period.
If you need to check the position of the service ducts on your stand then you can download the Technical Plan
Some items such as kettles and coffee machines will not run off a basic 500w socket – check this GES guide for more information on ordering a suitable connection
GES Electrical Services has a wide range of additional fittings to choose from, such as low voltage lights and track lighting, access the GES ordering system to see the full range of available products.
To ensure that your order is processed in time and to avoid late order surcharges, please make sure you submit the order form no later than the deadline stated on the order page and pay the invoice by the date due.
Shell scheme exhibitors should be aware that it is possible that their stand will need to house the mains electrical box to which the shell scheme elsectrics are connected. This will be positioned as unobtrusively as possible but are an essential part of the show infastructure and cannot be removed.
All shell scheme exhibitors (including those within the product zones and associated pavilions) are provided with basic electrics as a part of the stand cost. These electrical packages are dependent on the size of the stand, please see the list below to check what electrics are included in your stand:
- Stands up to and including 18m² receive
- 1 x 5ft fluorescent light fitting
- 1 x 500 watt socket
- Stands larger than 18m² but no more than 36m² receive
- 2 x 5ft fluorescent light fittings
- 2 x 500 watt sockets
- Stands larger than 36m² receive
- 3 x 5ft fluorescent light fittings
- 3 x 500 watt sockets
Although these packages are not changeable for other fittings, you can of course order extra fittings and sockets to meet your display needs.
If you would like your electrical sockets or lights placed in a specific location then please submit a grid plan to the electrical team clearly marking the required locations. We recommend that the fluorescent fittings are positioned on the rear of your open edge fascia, and for obvious safety reasons, sockets should be positioned at the base of a wall.
If you do not tell the contractor where you want the electrics to be placed, prior to deadline date, they will be sited in the most logical position and moving them may cause the exhibitor to incur additional fees.
NB Exhibitors are advised that the standard electrical fittings on a shell scheme are not designed for appliances such as kettles, coffee makers and vacuum cleaners.
At MACH connections for machinery exhibits are on a separate tariff so make sure you use the correct form to order these.
If your exhibits and machinery require more than 3,000 watts single phase then you will need to order one or more mains supplies.
These mains are available in two standard formats:
- Single phase 230volts
- Three phase 400volts
To ensure that the electrical contractor provides you with the most cost-effective mains solution for your exhibits and machinery please follow the following process:
- List each exhibit with their electrical ratings on the electrics order form
- Provide a scale plan of the stand showing the machine positions (keep in mind the electrical outlet point on the machines relative to the service ducts running under the stand
The contractor will use this information to quote you the best price solution available.
Each exhibit and machine must be supplied to the show complete with the correctly rated tails/leads. Machines fitted with C-Form plugs in sizes 16/32/63/125 amp can be directly connected, power requirements above this will require a direct connection and it is up to the exhibitor to provide the correct leads: Failure to do so will incur additional cost and possibly lengthy delays in energising your exhibits.
It is vital that you inform the electrical contractors of your machinery mains needs the stated deadline and you will be required to pay the quotation in full in compliance with the payment terms.
The MTA takes safety at MACH extremely seriously. The following are guidelines that all exhibitors must adhere to. Safety guidance and regulations are in place for the ongoing safety of both exhibitors and visitors alike; we thank you for helping to make MACH a safe exhibition.
- The Organiser reserves the right to disconnect the electrical supply to any installation which violates the stand build regulations in any way or, in the opinion of the Operations Team, the Electrical Contractor or the National Exhibition Centre (NEC), is considered dangerous or likely to cause annoyance to visitors or other Exhibitors.
- All electrical installations on stands, features, displays or exhibits shall comply with;
- The Local Authorities and applicable Acts
- The Health and Safety at Work Act 1974
- The Management of Health & Safety at Work Regulations 1999
- The Association of Event Venues & Association of Electrical Contractors regulations for stand electrical installations.
- The Organiser provides all necessary general lighting throughout the Exhibition Halls.
- All electrical work carried out on behalf of the exhibitor will be subject to inspection and approval by the official electrical contractor, GES Ltd, and the National Exhibition Centre Ltd before energisation of any mains supply.
- Each stand must have its own means of isolation situated in an accessible position.
- The Organiser actively encourages exhibitors to insist upon high standards of both workmanship and equipment. In the event of dissatisfaction with the work being carried out or equipment used, exhibitors should firstly contact Mark Simpkins at GES. Should this matter be unresolved, complaints and queries should be immediately brought to the attention of the Organising Office during the build-up or open period. No complaints will be dealt with after the show.
