Show Ready Stands
Introduction
This section of the manual is designed to assist exhibitors who have opted for a ShowReady stand at MACH.
Navigation
ShowReady stands are a hybrid option where the exhibitors has purchased both floorspace from the MTA and a modular stand build with bespoke graphics from GES.
If you are not sure what type of stand you have booked then your contract for space will tell you what has been booked. If you are unsure or wish to change to another scheme please email mach@mta.org.uk and we will be happy to help.
GES will assemble and dismantle the stand for you, including:
Walls
You can select the format of your stand from the available designs.
Carpet
Carpet colour can be selected from a range of available options, refer to the ShowReady Brochure for more details.
LED lighting
One LED arm light will be placed every for each 1.5m section of walling. For example, on a 6m x 3m stand with two open sides, there would be 4 lights along the 6m stretch and 2 along the 3m stretch.
Two double electrical sockets
Exhibitors can specify where the electrical sockets are placed on the ShowReady wall by contacting GES.
The graphic design for the bespoke graphics is not included so exhibitors will need to have designs produced.
If you don’t have a designer then both GES and MACH’s graphic contractor Adfield can provide a quote for this service.
Please also check out the GES Graphic Guide for help and guidance in producing your design.
Exhibitors should note ShowReady stands do not include the first lift of machinery exhibits that is included with space only stands.
Other optional extras you can add to your stand include furniture, lightboxes, screens and built in displays.
As GES are an official MACH contractor exhibitors are not required to submit floorplans for approval or a construction phase plan.
However, the rules relating to the placement of machinery exhibits will still apply and exhibitors should refer to the stand build regulations to ensure that their exhibits are compliant. Any additional costs of moving or removing machinery exhibits that do comply will be the responsibility of the exhibitor.
ShowReady exhibitors must still must send us:
- The joint H&S, Risks & Insurance Declaration, this form covers:
- The Health & Safety declaration that you have read, understood and will abide by the H&S rules and will communicate them to 3rd parties as necessary
- Submit a risk assessment (this is covering you as an exhibitor and your activities at the exhibition; it is separate from the RA your stand contractor must submit)
- Submit your public liability insurance to show you have cover in place for the event
- Items of special risk – you must submit details of any items that will be on your stand that have an additional risk e.g working machinery, vehicles or gas bottles etc…
Templates are available to help make submitting all this information easier but it is the duty of the exhibitor to ensure that these are fully completed and accurately reflect the unique activities and equipment on your stand.
Please also refer to the ‘Risk Assessment’ section of this page.
As exhibitions and events are deemed as hazardous environments, it is a requirement that every Exhibitor carry out a Risk Assessment and Fire Risk Assessment for their involvement in the exhibition. Exhibitors are required to assess the risks to workers and others, who may be affected by their work business. This will enable them to identify the measures they need to take to comply with health and safety law.
Exhibitors need to submit a comprehensive risk assessment covering the build, break down and operational/open period.
You should also consider the following when carrying out your Risk Assessment:
- Slipping/tripping hazards (e.g. poorly maintained carpets, edges of platform floors or stairs, cables)
- Fire
- Long working hours
- Working at height (when dressing the stand or during the open period)
- Electricity (e.g. poor wiring)
- Manual handling
- Noise
- Poor lighting
- High or low temperature
There is a basic Risk Assessment Template available to get you started but you will need to customise this to your stand activities and build.
ShowReady exhibitors will NOT be provided with name boards, you must ensure that your stand number is prominently displayed on your stand to a minimum size of 200mm wide by 150mm high.
